Customer background

A huge cooperative farm company owned by several dairy producers has been catering to the needs of both national and international customers. The company is a leading producer of specialty cheeses for much over half a century. It serves different types of customers like marketers, distributors, and manufacturers for their industrial, retail, and food-service needs.

Recently the company realized the need for a deeper insight into its business and processes. It needed a solution that can monitor and analyze its complex processes and generate valuable information that can be put to use to improve efficiency. Glorious Insights came to assist the company in finding the best solution that could meet the scale and complexity of its business.

Challenges

The company has two core businesses that are sales and cheese production. It needed a system to analyze the complex process of cheese production from end-to-end. It needed reports of the process from the incoming of raw milk to the exit of cheese from the factory. The whole operation includes 100 data points and 6 processes.

Also, it wishes to have a deeper insight into sales and make its staff more accountable. The key sales challenges were:

  • Evaluating the performance of sales staff

The performance of the salespeople must be evaluated with reference to view margins, margin percentage, and forecasts.

  • Comparison of the performance and sales

It needed to compare the staff performance to the performance during the same period in the previous year. Also, a comparative analysis of the sales concerning forecast was a must for decision making and process optimization.

Solution

Glorious Insights collaborated with the analytics team from the company to weigh different options that could serve the company’s purpose. We created a prototype using the QlikView and used the company’s key data and matrices as a test run. As the solution showed remarkable promise, QlikView was selected to develop the BI platform.

  • Functional aspect

The new system can present the perfect answer to the issues related to both the company's key operations: cheese production and sales.

  • Features for production

The system provided insight into the factors affecting cheese products such as temperature, pH, enzyme levels, etc. Any issue in these parameters can be quickly identified and the production can make adjustments to rectify. It also allows tracking ingredients of a target product to take corrective actions if needed.

  • Features for sales

The QlikView provided high-level information to the management and salesperson in the most secure way. It analyses the data based on salespersons, sales, customers, forecasts, and trends. It gives a clear picture of the performance of salespeople relative to their past records and forecasts.

  • Technical aspect

The QlikView system utilized multiple sources to collect data. These sources included information from enterprise planning systems, spreadsheets, production machines, lab equipment, etc. All the information is fed into the new system that generates graphs and charts to visualize the information in a more useful and understandable form. Formal training of the workforce was conducted before the business transitioned to the new system.

Results

The new system enabled the company to align better with the sales projections and improve production processes. Some of the major benefits the company could draw from the solution are:

  • With increased visibility into the production processes, the company could enforce better control.
  • The company could track outgoing lots to efficiently identify the shipments.
  • New data points set in the production process allow quick adjustments if needed.
  • The sales staff was made more accountable for the projections. This helped in improving their efficiency and performance.
  • As the sales and production processes are stronger and better streamlined, the margins are increased significantly.
